Music Library Reserve- Faculty Information

This page should answer all your questions regarding the Music Library’s Reserve service. However, feel free to contact Connie Steigenga (4-9946) at willow1@utk.edu with any concerns or questions you might have.

Submitting Reserve Requests

The Reserve Request Form, available at the Music Library Circulation Desk or online at http://www.lib.utk.edu/reserve/faculty/reqform.pdf is the preferred mechanism for making a reserve request. The reserve request form allows the user to fill-in requests online by either cutting and pasting information into the form or typing in the required information. Required information includes:

  • Instructor’s name, address, e-mail address, and phone number
  • Course number and department
  • Anticipated enrollment for the course
  • Semester and year
  • Call number (for library owned items)
  • Author and title
  • Number of copies required
  • Loan period
  • A complete citation for digital items and those not owned by the library

Please note that missing information will result in processing delays.

Please submit the completed reserve request form at the Music Library Circulation Desk, via campus mail, or as an e-mail attachment.

To submit the interactive .pdf document via e-mail, follow these steps:

  1. Save the blank reserve request form to his or her computer.
  2. Fill-in the required information.
  3. Print this form out and drop it off at the Music Library Circulation Desk or send the completed form as an e-mail attachment to willow1@utk.edu.

Word-processed requests that closely replicate the layout and information of the
official request form are also acceptable. However, the Music Reserve service will NOT accept an unmodified class syllabus.

Deadlines for Submission and Processing Time

To ensure availability for the first day of classes, please submit completed reserve request forms to the staff of the Music Library by the following dates:

Fall semester – August 1
Spring semester – December 15
Summer semester – May 15

     Reserve requests that are turned in after these dates or that are missing essential information will be processed as soon as possible. Please allow two weeks for requests turned in during the first two weeks of a semester and eight days for requests submitted after that date.

     Materials that are held at Hodges or that are checked out may take longer to process. Also, we cannot guarantee that materials that are checked out will be returned. The Library will try and purchase materials needed for reserve, but that takes time, and there is no guarantee that all requested materials can be obtained. Please submit a list of items that must be purchased as early as possible.

Important note: Regardless of when they are submitted, items requiring digitization may take up to two weeks to process.

Items Appropriate for Reserve

     Library reserves shorten the amount of time an item may be used by an individual student, making scarce copies of supplementary materials available to most or all of the students in a class. Reserves are not intended to replace textbooks or to be the bulk of the readings for a class. Please consider creating a course pack if you plan to submit a large number of reserve readings.

     Most circulating library materials are available for reserve including books, scores, CDs, videos, and DVDs. Also, an instructor may have a personal copy of an item placed on reserve provided that the item has been legally obtained. Personal copies are returned to the instructor at the end of the semester. The library is not responsible for any damage to the personal copy which may occur during use.

     Articles, book chapters, individual songs, or parts of a score can all be digitized. Any of these digitized items as well as materials from one of our streaming audio databases (Classical.com and Smithsonian Global Sound) can all be made available online through the reserve system provided that the fair use provision of copyright is not exceeded. See http://www.lib.utk.edu/copyright/ for more information regarding copyright issues. Links to online reserves are only available during the semester when the course is being taught.

It is requested that the following not be placed on reserve:

  • Large numbers of scanned or photocopied readings. A course pack is recommended as a substitute. See http://www.lib.utk.edu/reserve/faculty/FacInstruc2.htm
  • Items for individual or small group projects. If students are given plenty of lead time, they may use library holds or recalls to get access to materials.
  • Large numbers of books if each contains only one or two readings. Either a course pack or scanning for online reserves is preferred.

Music Library Reserve Service vs. Digital Media Service

Options for Online Reserve

     DMS offers faculty an opportunity to create their own personal reserve collections containing a wide range of digitized materials. Video, audio, and text-based source materials may all be digitized by DMS. URLs for these materials may then be mounted on the faculty class web pages, in their Blackboard courses, or in the Music Library Reserve listings. For more information on the possibilities offered by DMS, please consult their web page at: http://digitalmedia.utk.edu/.

     If you use web pages or BlackBoard accounts to support your courses and would like to use digital materials in these contexts, Digital Media Service (DMS) in Hodges Library is the appropriate department to contact.

     If you do not use web pages or BlackBoard accounts to support your courses, the Music Library Reserve Service can create links to online materials in the library catalog. Please submit URLs of digitized materials, .pdf documents of materials to be placed online, or clean hard copies of materials to be digitized.

Helping students locate reserve items

Information for your Syllabus

The course syllabus should contain enough information for your students to locate research materials easily. Therefore, it should contain:

  • Call numbers for library-owned items. Students must ask for in-library reserve items by call number.
  • Full citations for items on reserve. Identify the author and title of the item. Then identify the chapter(s) or songs, etc. to be studied.
  • For online reserves, each article, song, or book chapter will be listed separately in the catalog. It helps to identify the item as "online" and to give the specific author/composer and title. (NOTE – “ONLINE” is added in front of the titles of online reserve items in the UT catalog.)

Loan Periods

The instructor chooses a loan period for physical items placed on reserve. Loan period options include:

  • No Circ – allows the materials to be used in the library for 2 hours
  • 2hr/Onite – allows the material to be taken out of the library for 2 hours through the day and overnight if the material is checked out within 2 hours of closing. The material will be due an hour after the library opens on the next business day.
  • 24 hour – allows the materials to be taken out of the library for 24 hours
  • 3 day – allows the materials to be taken out of the library for 3 days
  • 7 day – allows the materials to be taken out of the library for 7 days
